From the wiki page, it appears I was the second person/first non-organizer-type to volunteer. And no-one else has kicked things off, that I've seen.
So, perhaps I can: I assume everyone who's volunteered is on this list; i'm not one for cross-posting really.
Firstly, I guess a lot depends on the venue: I've not been to GoogleUK, so don't know what it's like: perhaps a reccy might be useful, for us to plan something/plot/scheme/design layout, yes? (most mornings are bad for me, afternoons/evenings do-able, although i do have some evening meetings on Wednesdays and Thursdays).
So, from the wiki...
>>> Sponsors
Some of the things we need, and hope various organisations can provide: • a location - requirements detailed above So this is sorted now, yes
• food - breakfast, lunch, dinner, snacks for the two days Well, it's just the one day now, isn't it?
• drink - cold, hot, soft, hard - wine for \"geek dinners\" I know this isn't really a dinner, but I'd be happy to make contact and see if they could do anything for us. JC There's something on the Facebook event about this, istr.
• wifi - hopefully the location will be able to provide this too. Do we know about this: should probably print out (in a LARGE type-face) any keys needed, lots of times over. Perhaps lots of power-strips/muulti-pug extension leads, too?
• goodies - as is customary at barcamps, at least T-shirts for all the attendees. Something our hosts could provide? Or do we need to look to other folks?
• entertainment - maybe some sort of social event on the Saturday evening Local to the event/West End/Vauxhall/Somewhere else? It's been a while since I worked Victoria way, so haven't really been in the pubs 'round there for a while.
>>> To do list
Tech Wifi Projector, White Boards Presumably old-fashioned whte-boards, not this ultra-hip Interactive ones?
Photo Video Audio Is the plan to webcast live, or upload stuff later? : from memory, most BarCamps passim have been live.
Non-tech Breakfast Lunch Coffee/Tea Thoughts on a menu? Is this being provided by our hosts, or something we need to think about doing ourselves/talking nicely to Pret/someone else (for lunch): Might it be an idea (if providing ourselves) to talk to the Sainsbury's/$supermarket on Victoria Street, about supplies: see if they can order extra stuff in?
With coffee/tea, we should also remember about water (still and sparkling), and fruit-juices, yes?
We should probably add in Paper Flip-Charts and Magic Markers/Whiteboard Pens in LOTS OF COLO[U]RS. often very much needed for the quickness.
Tables and chairs
Suggest this be done ~after~ a reccy, and preferably, the afternoon/evening before.
Name badges - Emma M and Stimulation Ltd will supply name badges and plastic wallets (with person to dish out and collect)
We could probably also do with some SIGNAGE : from the tube station and outside the venue: and check on the signage regularly as Westminster City Council are rather efficient at removing them!
State of play is that Google are offering the location, wifi,
whiteboards, projectors in four of the five rooms (possibly in the 5th
too but can't promise), tea and coffee facilities.
Asked one big government IT provider to provide T-shirts, they will
confirm or decline tomorrow.
Emma M has offered to sort badges out.
So, at my guess, that leaves us with:
signage
extra sockets and leads
sponsor for lunch
sponsor for evening event if people want that (guessing yes but will
take the temperature on that one)
pens
soft drinks /snacks
I've been to Google a few times but not knowingly seen the rooms they
are offering. Am waiting on a day/time to go check them out (my
contact is based in Belgium).
Have I missed anything?
How can/do you want to help?
Anyone else offering to assist in the organisation?

One other point, live blogging and posting encouraged. One suggestion is if participants don't feel up to taking a session that we have a resident blogger/uploader in each room to upload shots of whiteboards / demos etc to an event blog as the day progresses. Any thoughts?

That's one of the things I sort-of asked about: is there a plan to webcast? Might need some people with DVCams, tripods, means to convert video, and somewhere to store/stream it...
Video side of tech's not something I know much about, nor audio streaming.
We've alreadt got the event tag on the wiki, so hopefully people will remember that, or perhaps that's something else for BIG POSTERS.

Got an alternative in mind, in case they say no?

we should probably supply some duct-tape to reduce trip hazzards...

I have time, enthusiasm, and anal attention to detail (my typos in my kick-off mail are really annoying me).
I can't design things, and will do grunt-work, like hauling tables around, climbing on top of things to adjust projectors, that sort of thing.
Quite a few times, in the past, wifi's been a bit of a nuisance, so we should probably see what we can do about that: getting all the details we need, and making sure there are plenty of copies, in large text so lots of people can see.
And avoiding 'confusing' characters in keys, if needed, and possible.
I think we should as much as possible the night before, to give us extra time in bed/less panic in the morning.

OK, so I was at BarCampLondon3 at Google last November. It's a great place to do it, especially if they can give us the same welcome they did last time - it ran to more than tea and coffee (and the tea/coffee stations are well stocked with cold drinks, fruit and other less wholesome snacks), they also fed us - I'm assuming that at least they'll give us lunch?
Signage was also provided beforehand because we were restricted to certain areas - lots of signs saying "Googlers only past this point" and all the locked doors are opened by swipe cards so no probs with keys (I think that's what you were talking about Adam)
Not sure about live streaming, but will definitely capture some video & still photos. I'll be live-blogging any sessions I'm in and not presenting :) I would expect David Wilcox to come with a camcorder too. We'll see if we can knock something up together.
The wifi is excellent - no worries there - this is Google, they may occasionally veer too close to evil for many people's comfort, but they have working wifi.
And all the other kit should be fine too, so I wouldn't expect to have to stand on any tables or use any duct tape - in fact I'd expect the googlers to frown upon it :)
Cheers all - looking forward to meeting you :)

I meant from the tube station... even if it is RIGHT OPPOSITE, there will be someone (me) who'll be looking for *something* with some sort of tech logo on it :)

David Prever offered to set up streaming. I will get in touch with him
about it. Happy to do anything that is needed, I have enthusiasm but
no brain at the moment, so will do as told. Not overly helpful I know,
but if anyone wants some thing just done, shove it at me.
Will get back re Prever

Sorry, that was such a rubbish response and not in the barcamp spirit!
I will see if Prever can come up with anything that rocks, but I will
also take responsibility for the boring bits of the day. So, I will do
welcome packages, so far: badges for all, but I can also let people
know what they have to do when they walk in and where they need to go
- let me know if any of you want to do anything more with a welcome
package, tshirts etc. I will then happily sort out loos and emergency
exit information, if someone at Google let's us know these kind of
logistics; Jeremy - just point me in the right direction and I will
sort it. Then I will organise clear up and collection of stuff at the
end of the day.
I have a meeting on Thursday afternoon to chat about what I might
bring with me for presentation, but might leave the bulk of this to my
FCO colleagues.
SO... boring stuff - me!!
Will report back here at the end of the week.

I can bring a projector if needed, also happy to do some audio/video
recording and editing and have all the kit needed. One way to do it
would be to sit an Edirol or other digital audio recorder close
whoever is presenting in each stream.
I've got a couple of cameras knocking about too - one DV and one direct to SD card that I'll bring along. Also got a good Canon stills camera for taking detailed shots of whiteboards.

David Prever is willing to sort out some streaming with his own stuff
www.brandspanking.co.uk he is too late to register for the event
though, so I have no idea - Jeremy - if that means we should carry on
without him. I have asked him to contact you seperately. Therefore for
now I am back to boring ops stuff.

While it would be nice to have streaming, I think there will be enough of us there with video cameras and laptops to get stuff up quickly enough onto youTube for people to access - if not exactly in real time then only with a slight delay ;)

Do you want some help with the boring stuff? Sorry its a bit late in
the proceedings to offer. I can be general gofer on the day and help
out with reception duties if that is any use. Or anything else you
can think of.

Jane, thanks, that would be great, I need to do a bit of thinking -
when I can find my brain. The most important thing really right now is
to work out how we get people in, how fixed we are with numbers and
how we can manage this at the door. (This, I believe Jeremy Gould is
finding out from Google this week). The rest of the boring bits/duties
we can just divvy on the day (come and find me).
